Freelance IT Support vs Managed IT
A good freelancer can be excellent value, especially early on. The risk is concentration: everything rests on one person.
| Freelance IT | Managed IT (MSP) | |
|---|---|---|
| Cost | Often the cheapest option, charged hourly or by day, or a small retainer. | A fixed monthly fee covering a team, tooling and a helpdesk. |
| Availability | Limited to one person's diary; can be hard to reach during holidays or when busy elsewhere. | Staffed helpdesk with response targets in an agreement. |
| Cover for absence | Usually none. If they're ill or unavailable, so is your IT support. | Other engineers pick up the work. |
| Tooling and monitoring | Varies widely; some run professional monitoring, many don't. | Remote monitoring, patching and security tools typically included. |
| Security and compliance | Depends entirely on the individual's skills and time. | Processes, tooling and often certifications (such as Cyber Essentials) are standard. |
| Documentation | Can live in one person's head unless you insist on it. | Usually kept in shared systems anyone on the team can use. |
Freelance IT makes sense if...
- You're a very small business with straightforward needs
- Budget is tight and the risk of delays is acceptable
- You have a trusted freelancer who documents everything
Managed IT (MSP) makes sense if...
- You depend on IT being available during business hours
- You need security monitoring, patching and backups done consistently
- You want continuity if one person is unavailable
Our honest take
If you use a freelancer, make sure you hold the admin credentials, there's written documentation, and you know what happens if they're unavailable. If that list makes you uneasy, a managed service is probably worth the extra cost.
